Privacy notice
ChurchLuma handles account information and the church records entered by authorized users. This notice explains those records and the access controls available in the product.
Account and church details
When you create an account, you provide your name, email address and a password. Church setup collects a church name and member range, with optional contact details and how you found ChurchLuma. Account verification and sign-in use authentication and session records.
Workspace records
Church staff can enter member and visitor details, family and department relationships, attendance, giving records, messages and follow-up notes. A shared member or visitor form sends the information you submit to the church that created the link. Church staff review member applications before approval.
Who can access records
Staff access depends on their church membership, assigned branches and permissions. Church administrators manage staff access. Features such as finance, analytics and administration have permission checks, and important workspace changes are recorded in an audit trail.
How information is used
Account details support authentication and invitations. Workspace records support the church features your team uses, including attendance, financial record keeping and follow-up. Communications use the recipients and message details chosen by authorized church staff to send messages.
ChurchLuma Help
When you use the ChurchLuma Help assistant, we store your questions and its responses, along with the product area tags and basic page context, to review common support needs and improve the product guidance. The assistant is intended for product questions. Avoid entering private church, member, financial, pastoral or health information. We apply automated redaction to common sensitive patterns before storing chat text, but redaction may not catch every detail you enter. Questions and relevant page context are sent to our configured AI provider to generate a response. Authorized ChurchLuma platform administrators can review redacted chat records and aggregated feature trends; church and staff identities are not shown in that insights view.
Cookies and browser storage
ChurchLuma uses session cookies for signed-in access. Browser storage also remembers settings such as the selected branch, church setup details and whether you dismissed the getting-started checklist.
